How SquadSpace works

What is in the product, how to get a team started, and answers to the questions people actually ask.

Your first week

The order matters — each step depends on the one above it.

1

Create an organization, then a project

An organization holds your people and your billing; projects live inside it. Everything else — boards, tasks, repositories, meetings — belongs to a project, so make one before anything else.

2

Invite the team and set roles

Invitations go out by email. Each member gets a role: owner, admin, editor, member or viewer. Roles decide who can manage people, create and delete projects, and edit work — pick them deliberately at the start.

3

Add boards and notes

Boards group notes; notes are rich text with headings, lists, tables, images, links and code blocks. This is where specs, research and meeting write-ups live.

4

Turn the work into tasks

Give each task a priority, a category, an assignee, a reviewer and an estimate. Tasks move through Backlog, To Do, In Progress, In Review and Done on the board.

5

Open your first sprint

Set a goal and a window between one and four weeks, then pull tasks in. The burndown, burnup and velocity charts start filling in as work completes.

Common questions

Answers describe how the product behaves today.

How do I invite someone to my organization?

Open Organization Settings and send an invitation to their email address. They will get a link that adds them to the organization once they accept. If your plan is already at its seat limit, the invitation is blocked until you upgrade or cancel a pending one.

What can each role do?

Owners have full control including billing. Admins can manage members and roles. Editors can create and edit projects, boards, notes and tasks. Members work with content normally. Viewers have read-only access.

Can I share a note with someone outside the team?

Yes. Open the note, choose Share, and copy the public link. Anyone holding that link can view the note. You can also invite an individual by email and give them view or edit access instead.

How do I clone a repository?

Open the repository and use the clone instructions on the page. Both an HTTPS and an SSH URL are given, and repository access is controlled separately per collaborator as admin, write or read.

Why is a task marked as blocked?

A task is blocked when something it depends on is not finished yet. The dependency view draws the whole chain and marks blocked tasks in orange, so you can see what has to land first.

Why am I asked for the actual duration when I finish a task?

Completing a task asks how long it really took, next to what you estimated. That pairing is what makes the velocity and workload figures meaningful — it is worth entering an honest number rather than accepting the estimate.

How do I change my notification settings?

Open Settings and go to notifications. You can control in-app, email and push delivery separately, and mute specific kinds such as new messages, task assignments or mentions.

I forgot my password.

Use the reset link on the sign-in page. You will get an email with a link to set a new one. If you are already signed in, you can change it from Settings.

Still stuck?

Email info@hxl.global and a person will get back to you. Fuller documentation is on the way.
